4 steps to an online workshop with zest.

An online co-creation workshop should not resemble yet another Zoom or Teams meeting where you can sit back and relax. With proper preparation, you will actively work with your team.

Commissioned by APPR, Hét Brancheburo, I developed an online workshop for KVAN. This association for the archives sector was created at the end of 2020 through a merger of two other associations. The archive sector is engaged in an enormous digital transition, much is about to change. Time is running out to take action, so we couldn’t wait until we could meet live again.

 

Step 1. What do you want to achieve with the workshop?

In this case, the aim was to gain clarity about the core message of this new organization and its translation to the various target groups. And to lay the foundation for a new brand identity.
The 10 participants of this a co-creation session come from very diverse backgrounds and experiences. Ideal for finding a solution that highlights many different aspects.

 

Step 2. A tailor-made workshop

Every question is slightly different. For this reason, the solution can never be standard. What is already there? What is still unclear? Are there any blind spots? Based on preparatory discussions and desk research, I designed a programme with an alternation between listening and watching, talking and doing. We prepared the technology: who switches to the break-out rooms, who keeps track of the chat, and who watches the time? For this workshop, we used a mix of Zoom and Miro, an online whiteboard.

Step 3. Good preparation is half the battle won

We gave the participants an assignment to do at home on a prepared Miro whiteboard. As a result, they already became a bit familiar with this tool. Moreover, thinking differently has already been set in motion. The results of the assignment were integrated into the workshop.

 

Step 4. It is called a WORK shop for a reason

We started the workshop with a physical warm-up, because that helps you to get creative. We then alternated conversations with the entire group in Zoom with break-outs in small groups. In those breakouts, we collaborated on the online whiteboard. This was prepared in such a way that it was easy to work with. Taking votes in between and talking about the results helped us to discover the similarities and differences.

 

Working like this, it only took a few hours to reduce months of discussions to some clear choices and a brand story that helps KVAN to plan the next steps.
